What is a company email?
A company email is any mailbox hosted on a domain your business owns — sales@yourcompany.com instead of yourcompany.sales@gmail.com. Technically it is ordinary email; commercially it is a trust signal: the address itself proves the business owns a domain, pays for it, and manages its own infrastructure.
The ownership angle matters more than the aesthetics. When mail lives on a company domain, the business keeps every conversation, quote and invoice thread when an employee leaves — with a free personal inbox, that history walks out of the door.
Is there a free business email?
Not entirely. The domain has an annual cost, so any address on it carries at least that. What differs is the mailbox cost: mail bundled with hosting is effectively free beyond the domain, Google Workspace and Microsoft 365 charge per user per month and both offer a free trial period.
Practical advice for a small team in Egypt or the Gulf: start with hosting-based mail on two or three functional addresses, then move to Workspace or 365 once the team relies on shared files, calendars and mobile sync.
Steps to create a company email
- 1
Register a domain in your company's name (e.g. yourcompany.com). A company email cannot exist without a domain you own; registration takes minutes and must be in the company's name, not the developer's.
- 2
Choose a mail provider: Google Workspace or Microsoft 365 for teams needing storage and collaboration, or hosting-based mail for very small budgets.
- 3
Verify domain ownership by adding a TXT record in your DNS panel, then wait for propagation (minutes to an hour).
- 4
Add the provider's MX records and delete any old MX records, otherwise mail lands on the wrong server or never arrives.
- 5
Create mailboxes: a personal address for every client-facing employee, plus functional addresses such as info@, sales@, support@ and accounts@ as distribution groups.
- 6
Configure SPF, DKIM and DMARC authentication records — they decide whether your mail reaches the inbox or the spam folder.
- 7
Migrate old mail, calendar and contacts from Gmail, Hotmail or a previous host before shutting it down, then keep forwarding on for a month.
- 8
Connect the mailboxes on the team's devices (Gmail, Outlook, Apple Mail), enable two-step verification, and standardise the company signature.

Official mailbox naming
Pick one personal format and keep it for everyone: firstname@ for small teams, firstname.lastname@ once names start to collide. Then add functional addresses that never belong to one person.
SPF · DKIM · DMARC
These three DNS records decide deliverability. SPF lists which servers may send on behalf of your domain, DKIM signs each message cryptographically so it cannot be altered, and DMARC tells receiving servers what to do when a message fails those checks — and where to send reports.
Start DMARC at p=none while you read the reports, then tighten to quarantine and finally reject once every legitimate sender (mail provider, CRM, invoicing system, marketing platform) is aligned. Skipping this stage is why company mail lands in spam.
Common mistakes
- Registering the domain under the developer's name instead of the company's — you lose control of your mail.
- Leaving old MX records after migration so mail hits a dead server.
- Blasting marketing campaigns from your operational domain and burning its reputation.
- Only personal mailboxes with no functional addresses — customer requests vanish during holidays.
- Skipping two-step verification — the top cause of business email compromise and payment fraud.
FAQ
How do I create an email with my company name?
Register a domain in your company's name, subscribe to Google Workspace, Microsoft 365 or hosting mail, verify the domain with a TXT record, add MX records, then create mailboxes such as info@yourcompany.com. The whole setup takes about an hour — Namra Tech can do it for you the same day.
Can I create a free business email?
A truly free email on your own domain does not exist, because the domain itself carries an annual fee. The cheapest legitimate option is mail bundled with hosting; Google Workspace and Microsoft 365 charge a monthly per-user fee with a free trial.
What is the difference between company email and regular Gmail?
Company email carries your domain, looks professional, and the company owns the account and all correspondence — you can close it when an employee leaves. A free Gmail belongs to the individual, so customer data leaves with them.
How many mailboxes does a company need?
A practical rule: one mailbox per client-facing employee plus three or four functional addresses (info, sales, support, accounts) routed to the right people. Start with three and scale later without redoing the setup.
Why does my company email go to spam?
Usually missing or wrong SPF, DKIM and DMARC records; second, sending bulk marketing from your operational domain; third, a new domain with no sending reputation. We fix the records, separate the marketing subdomain and monitor reputation.
Do you migrate old mail without losing messages?
Yes. We migrate messages, folders, contacts and calendars using official migration tools and keep forwarding active during a transition period so no incoming mail is lost.
